These Terms and Conditions govern participation in Brompton Tours journeys and the use of the website www.bromptontours.com.
By booking or participating in a Brompton Tours journey, you confirm that you have read, understood and agreed to these Terms and Conditions.
1. Nature of the Experience
Brompton Tours offers carefully curated cycling journeys using Brompton bicycles, designed for cultural discovery, comfort and slow travel. Tours are non-competitive and focused on enjoyment, safety and respect for local communities.
Brompton Tours may operate directly or in cooperation with licensed Japanese travel operators, accommodation providers and local partners, in accordance with Japanese travel regulations.
2. Eligibility & Participant Responsibility
Participants must:
Be at least 18 years of age
Be in suitable physical condition to participate in multi-day cycling
Be capable of safely operating a Brompton bicycle on public roads
Hold valid travel documents (passport, visa where applicable)
Participants are responsible for assessing their own health and fitness. Brompton Tours does not provide medical advice.
In accordance with common Japanese travel practice, participants are expected to act with consideration toward fellow travelers, staff and local residents.
3. Booking & Payment
A booking is confirmed only upon receipt of the required deposit or full payment, as specified at the time of booking.
Payment deadlines must be respected. Failure to complete payment may result in cancellation of the booking, with the deposit retained.
All prices are quoted per person and in the currency specified at booking.
4. What Is Included
Only services explicitly listed in the tour description are included.
Unless stated otherwise, prices do not include:
International or domestic flights
Personal travel insurance (mandatory)
Personal expenses
Items not expressly mentioned
5. Travel Insurance (Mandatory)
All participants must hold comprehensive travel insurance covering:
Medical expenses
Emergency evacuation
Trip cancellation or interruption
Personal liability
Cycling-related activities
Proof of insurance may be requested before departure.
6. Use of Bicycles & Equipment
Bicycles and equipment are provided or approved for use in good condition.
Participants are expected to use all equipment with care and respect.
Any damage caused by negligence or improper use may be charged to the participant.
Helmets are mandatory while riding.
7. Itinerary & Operational Adjustments
Brompton Tours reserves the right to adjust routes, schedules, accommodations or services when necessary due to:
Weather conditions
Road closures or traffic regulations
Safety considerations
Operational or logistical requirements
Such adjustments do not constitute grounds for refund, provided the overall experience and standard of service are maintained.
This approach reflects common Japanese travel industry standards prioritizing safety and service continuity.
8. Participant Conduct
Participants are expected to follow instructions from guides and staff at all times.
Brompton Tours reserves the right to discontinue a participant’s involvement if their behavior:
Poses a risk to themselves or others
Disrupts the harmony of the group
Violates local laws or regulations
Repeatedly disregards staff guidance
In such cases, no refund shall be issued.
9. Cancellation by the Participant & Refund Policy
All cancellations must be submitted in writing.
Due to the limited number of participants and the highly curated nature of each Brompton Tours journey, cancellations have a direct impact on the feasibility and quality of the experience for all guests.
For this reason, the following refund policy applies.
Cancellations made 60 days or more before the scheduled departure date are eligible for a 90% refund of the total tour price.
Cancellations made 59 days or less before departure are non-refundable.
This policy is in place to ensure operational stability and to guarantee that confirmed tours can proceed as planned for all participants.
No refunds will be issued in the following circumstances:
Failure to arrive at the tour start point (“no-show”)
Early departure or withdrawal during the tour
Inability to participate due to missing, expired or invalid travel documents
Personal circumstances, including changes in schedule or health, unless otherwise required by mandatory law
Participants are strongly encouraged to obtain comprehensive travel insurance covering cancellation and interruption.
10. Cancellation or Changes by Brompton Tours
Brompton Tours reserves the right to cancel or reschedule a tour due to:
Insufficient participation
Force majeure
Safety or operational concerns
In such cases, participants will be offered:
A full refund of payments made, or
Credit toward a future Brompton Tours journey
No further compensation shall be provided.
11. Force Majeure
Brompton Tours shall not be held liable for delays, changes or cancellations resulting from events beyond reasonable control, including but not limited to:
Severe weather
Natural disasters
Government restrictions
Public health emergencies
Transportation disruptions
This clause reflects standard practice under Japanese civil law regarding unavoidable circumstances.
12. Limitation of Liability
Cycling involves inherent risks.
To the maximum extent permitted under Japanese law, Brompton Tours shall not be liable for:
Injury, illness or death
Loss or damage to personal property
Acts or omissions of third-party service providers
Liability, where applicable, is limited to direct damages only.
13. Photography & Media Use
Photographs and videos may be taken during the tour for documentation and promotional purposes.
Participants who do not wish to appear in such materials may notify Brompton Tours in writing prior to departure.
14. Privacy & Data Protection
Personal data is handled in accordance with the Brompton Tours Privacy Policy and applicable data protection laws.
15. Governing Law & Jurisdiction
These Terms and Conditions shall be governed by the laws of Japan.
Any disputes arising from participation in Brompton Tours journeys operated in Japan shall be subject to the exclusive jurisdiction of the competent courts in Japan, unless otherwise required by mandatory law.
16. Amendments
Brompton Tours reserves the right to update these Terms and Conditions at any time.
The version in force at the time of booking shall apply.
